The Challenge
Our client is a North American provider of business process outsourcing services for the financial services industry.
Established in 1996, the company manages the cheque, remittance and statement production operations of Canada’s three largest banks. It currently processes approximately two billion cheques and 150 million client payments, and mails over 400 million client statements on an annual basis. The company has more than 5,000 employees and serves over 100 clients, operating in all major Canadian cities and servicing a network of business centres that spans five North American time zones.

To execute its services, the company required a same-day return transportation solution for the shipment of banking material between data centres (DCs) across the country.

The Solution
The Progistix transportation management solution included extensive analysis prior to the design and implementation of the final solution:

    Extensive routing and dispatch analyses were performed to determine optimal pickup, tender and delivery times for each data centre.
  • A sensitivity analysis based on varying pickup, tender and delivery times was prepared.
  • The financial institution courier service (FICS) team coordinated a six-phase transportation solution that effectively met client requirements.
  • Ground service was blended into the existing FICS network in order to minimize costs where applicable.
  • Existing agreements with major air carriers were leveraged to ensure our client’s product would receive allocated cargo space and priority boarding status.
  • FICS senior management visited new sites to provide detailed training and explanation of procedures, customized shipping containers (bags), security seals, plastic liners, and flight dispatch bills (FDBs). Test runs with vendors were executed prior to implementation to ensure satisfactory vendor performance.
  • Pickup and delivery (P&D) schedules and dispatch plans were developed to assist with implementation.
  • A detailed communication plan for efficient flow of daily information between all parties of the network was established.
  • Ground and air carriers in all stages of the supply chain were managed to ensure quality service and continuous improvement.
  • Internal documentation was revised to improve the tracking capabilities of the client’s product.
The Results
  • A long-term sustainable solution that met client requirements and has been in effect since 2007.
  • Shipped more than 15,000 kg between the data centres on a monthly basis.
  • Maintained service standards throughout multiple airline seasonality schedule adjustments.
  • Leveraged existing network to provide the client with a solution that reduced their costs by more than 20%.
  • Reduced tender and retrieval times by 50%, resulting in improved delivery downstream.
  • Mitigated time constraints and provided client with more operational flexibility.
